A screenshot needs a useful caption and a review plan

Explain what a captured interface demonstrates without pretending the screen will remain unchanged.

Capture the point rather than the clutter

Before taking a screenshot, write what it needs to demonstrate. A narrow crop may communicate a concept more clearly than an entire desktop. Remove or obscure private information and avoid including accounts, customer data or material you are not permitted to share. If the image is illustrative, identify it appropriately. A screenshot shows one state at one time; it does not establish that every reader sees the same interface, has the same permissions or can follow an identical sequence.

Explain the stable concept nearby

Use the surrounding text to explain the task and what the reader should notice. Avoid relying on an arrow with no written explanation of its meaning. Provide appropriate alternative text and, where needed, a fuller description. If exact platform instructions are essential, verify them against current official documentation before publication. When you cannot verify the present interface, keep the article conceptual or clearly frame the capture as a historical example instead of presenting obsolete controls as a dependable current walkthrough.

Make future review practical

Record which product or process the screenshot depicts and what would trigger a review. A redesign, changed workflow or revised requirement may matter more than a routine editorial calendar. Keep the source asset in an appropriate location so replacement does not require rebuilding the whole article. Read the page with the screenshot hidden. If the central lesson disappears, add the necessary explanation. That makes the content more resilient while preserving the image's role as a useful demonstration rather than the only carrier of essential information.
